Team Roles

Board of Directors

Club Board of Directors (BOD) typically include a president, vice president, secretary, registrar, and treasurer. The BOD looks after a number of required functions which can include:

  • the annual registration process with Swim BC
  • holding an AGM and completing annual BC Society requirements
  • working with their home facility to secure lane rental and meet scheduling
  • hiring and scheduling of coaches
  • setting and collecting participant fees; organizing fundraising activities
  • additional team administrative tasks and organizing social activities
  • identifying officials and volunteers as needed

Team Registrar

Each club must follow Swim BC’s registration process as detailed on the Swim BC website. The registration fee for teams is $200 annually (previously $15). This fee must be paid before team members can register for the 2024-25 season. After team registration is complete (in early September of each year), Swim BC will initiate the re-registration process. Club Registrars oversee the registration process for all of their team members. A new login password is provided to the Club Registrar each year after the team registration process is complete. Once Club Registrars log in, they will be able to commence their registrations.

Coaches

All coaches need to be registered as a coach each year. The masters coach registration fee for 2024-25 is $88.25 (Swim BC) plus $40.00 (CSCA fee) paid separately. All on-deck coaches working for your club are required to be registered to ensure they are properly covered by insurance. If your coach is coaching an age group program, they are likely already registered (please check with the coach) and can be “affiliated” with your team. Becoming a Masters Coach

For those interested in becoming a coach, there are several steps (these are also listed on the Swim BC website:

  • Obtain an NCCP registration number and an account on CACS
  • Take and pass the Safe Sport course
  • Take and pass the Making Ethical Decisions course
  • Create an account on the LMS
  • Take (and successfully complete) one of three options: Masters online coaching course; Community Coach course; Swimming 101. Course options are available after registering through the LMS. See these two Swimming Canada pages for options: list of courses or  elearning opportunities.
  • Register with Swim BC.
  • Complete a criminal record check. Swim BC will provide you with an access code.

Club Officials Administrator

Upon registering with Swim BC, teams will be asked to designate a Club Officials Administrator. This individual oversees officials affiliated with the team. This role is particularly important for teams that regularly host meets each year.
